Group and Direct Message Settings

Group and Direct Message Settings allow you to control the group or individual messages. For groups you can change the name or group category, decide who has access to the group, what permissions they are granted, the ability to leave or delete the group, or create a group code to invite others. For both groups and direct messages, you can configure notifications, view media entries, such as photos, videos, links, files, and livestreams.

You can access the Settings panel using the Settings option located in the upper-right corner of the group or direct message panel.

Group Settings Screen

The Group Setting screen; on the web app will be divided into horizontal tabs running across the top of the screen, and on mobile will be divided into vertical panel options.

  • 1. People section - will allow you to add or remove people to the current group. See the People Section topic for more information.
  • 2. Group Codes section - will allow you to generate a code that can be used by others to join this specific group. See the Group Codes Section topic for more information.
  • 3. Notifications section - allows you to choose to which notifications and alerts are displayed. See the Notifications Section topic for more information.
  • 4. Media Entries section – will display all photos, videos, links, files, and in the web app - Livestreams. See the Media Entries Section topic for more information.
  • 5. Group Name – will allow you to change the display name for the group.
  • 6. Group Category – will allow you to change which group this chat will be display under.
  • 7. Permissions panel – will allow you to set which actions users in the group are capable of performing. See the Permissions Panel topic for more information.
  • 8. Leave Group – will allow you to remove yourself from the group. Even though you may have left the group the content you posted will still stay accessible by anyone still in the group.
  • 9. Delete Group - will permanently remove the group, all of the content, and remove the users in the group.

 
 

People Section

The People section will allow you to add or remove people to the current group. By default, it will display everyone who is part of the group and their role. You can also use the search or filer option to find a person.

  • 1. Search field – is an automatic text filter for the person list. The instant you begin typing the person list will begin filtering. The Search field will search thru both first name and last name. 
  • 2. Filter – drop-down list allows you to filter the list based on role.

          Everyone – is the default, and will display everyone in the current group.
          Owners – will display only the owners in the group. 

  • 3. Add Person – will display the Add Person panel allowing you to find and invite a person to the group.
  • 4. Person List – displays the first and last name and the Role of the person that has been added to the current group. When clicked or tapped, it can also be used to display the Person’s Info panel which will allow you to directly message the person, block them, set their role, or remove them from the group.

Adding a Person to the Group

You can add a person to the group by clicking or tapping the Add Person option. Select the person from the list and click the Add option.

When adding a person, the Search field is an automatic text filter for the person list. The instant you begin typing the person list will begin filtering. The Search field will search thru both first name and last name. 

The Filter drop-down list will also allow you to choose who is displayed in the person list. 

  • Entire Organization – will display the entire organization person list minus anyone already added to the current group.
  • Connections – is the default, and will display people from other groups you are part of. 
  • Group – will allow you to choose a certain group from your category list and display the people from that group minus anyone already added to the current group.

Using the web app:

  • Step 1. Click the Add Person option.
  • Step 2. Use the filter or search to locate the person you want to add to the group.
  • Step 3. Select the person, and click the Add option, located in the bottom-right corner.


Using the mobile app:

  • Step 1. Tap the Add Person option.
  • Step 2. Use the filter or search to locate the person you want to add to the group.
  • Step 3. Select the person, and tap the Send option, located in the upper-right corner.

 

 

Removing a Person from the Group

You can remove a person from the group using the Person Info panel which will be displayed when you click or tap on the person from the Person List.

Using the web app:

  • Step 1. Click the person from the Person List.
  • Step 2. Click the Remove from this Group option.


Using the mobile app:

  • Step 1. Tap the person from the Person List.
  • Step 2. Tap the Remove from this Group option.
  • Step 3. Tap the Remove option to verify that you want to remove the person.

 

 

Setting a Person’s Role in the Group

You can assign the Owner or Member role to any person in the current group by using their Person Info panel. A person who has been assigned the role of owner will be able to access the full list of features in the Group Settings screen.

The user that created the group and admins of the entire organization will automatically be assigned the role of Owner. Anyone with Owner permissions can then designate other users to be owner for the current group.

  • Step 1. Click or tap the person from the Person List.
  • Step 2. Click or tap the Role drop-down list located below the group name, and choose the role for the person.

 

 

Group Codes Section

The Group Codes section will allow you to generate a code that can be used by others to join this specific group. This is useful when the group is optional or you aren’t necessarily sure who’s all interested in joining. 

A user can take the copied code and enter it from the Action option on the Drawer panel. From the Enter Group Code popup they can paste the code and automatically add this specific group to their category list.

Codes can be set to expire on a specific date or have no expiration date at all. If the expiration date is reached or you manually expire a code it will no longer allow persons with the code to enter the group. A new code will need to be generated or they will have to be added to the group manually.

  • 1. Create a Group Code – will generate a group code that can be copied and sent to a person that will allow them to add the group to their category list.
  • 2. Code list – will display the available codes, who created them, when they will expire, or if they have already been expired.
  • 3. Expire a Code – will block the code from being used. A person with an expired code will not be able to add the group to their category list. They will either need to be added manually or will require a new code.

  

 

Generate a Group Code

By clicking the Create a Group Code option you will be able to generate a Group code and set the expiration date. By default, the code is set to never expire, but if you click or tap the Expiration Date you can use the date picker to choose when the code will automatically expire. Click or Tap the Generate Code option to display the code that you can send to any persons you wish to add to the group.

A user can take the copied code and enter it from the Action option on the Drawer panel. From the Enter Group Code popup they can paste the code and automatically add this specific group to their category list.

  • Step 1. Click or tap the Create a Group Code option, to display the Create a Group Code panel.
  • Step 2. Optional, you can click or tap the Expiration Date to display a date picker and choose when the code will automatically expire.
  • Step 3. Click or tap the Generate Code option, to display the code.
  • Step 4. Copy and send the code to any persons you wish to add to the group.

 

 

Expire a Group Code

Codes with an expiration date will automatically expire or you can manually expire a code which will block the code from being used. A person with an expired code will not be able to add the group to their category list. They will either need to be added manually or will require a new code.


Using the web app:

  • Step 1. Click the Expire option to automatically block the code from being used.


Using the mobile app:

  • Step 1. Tap the Group code to display the Code Info panel.
  • Step 2. Tap the Expire option.
  • Step 3. Tap the Expire Now option to automatically block the code from being used.

 

 

Notifications Section

The Notifications section allows you to choose to Mute all notifications from this group until you return and unmute it. The message badge count will still display unread messages, but there will no longer be any notifications or alerts for them.

If you don’t want to mute the group completely, you can choose to Snooze all notification for a limited time such as an hour or a full day.

You can also choose to indefinitely suppress specific options such as disabling user messages, system messages, or reactions.

  • 1. Snooze – will stop all notifications or alerts from being displayed on the web or mobile app until the specific selected time frame is reached such as an hour or a full day.
  • 2. Suppress Messages – will allow you to choose which notifications or alerts are suppressed:
         Human Messages – will suppress message alerts from the persons in the
               current group.
         System Messages – will suppress all system alerts for the current group.
         Reaction Messages – will suppress reactions to messages from persons in
               the current group.
  • 3. Mute – will stop all notifications or alerts from being displayed on the web or mobile app until you return and unmute it. The message badge count will still display unread messages, but there will no longer be any notifications or alerts for them.

 

 

Media Entries Section

The Media Entries section is designed to display all photos, videos, links, files, and in the web app - Livestreams. This is a quick display of these items allowing you to find a specific media entry without having to scroll thru pages and pages of messages.

On the web app it will be a tab located on the Group Setting main screen. On the mobile app the media entries are located at the bottom of the screen and has tabs for each of the media categories.

  • 1. Photos and Videos – will display all images, videos, , etc. Each item will display who created it, and when it was created.
  • 2. Links – will display any links to external items. Each item will display the link, description, who created it, and when it was created.

  • 3. Files – will display any links to added files such as a PDF, WAV, document, spreadsheet, etc. Each item will display the files, who created it, and when it was created.

  • 4. Livestreams – (WEB APP ONLY) - will display each live session that was initiated from this group. It will list how long the session lasted, who was a part of it, who started it, when it was started, and if the session was recorded - the ability to replay the stored video.

Permissions Panel

The Permissions panel will allow you to set which actions users in the group are capable of performing. For example, you may not want users to have the ability to leave a group. You could change that option to only allow the owners of the group to leave.

Only group owners will see the Permissions panel, regular members of the group won't see or have access to these settings.

In the web app you will need to first click the Expand option to display the available permissions. In the mobile app it will be a panel option on the vertical list.

Direct Message Setting Screen

Several of the Group Settings can also be applied to an individual Direct Message. By selecting a user and clicking or tapping the Direct Message Setting option, you’ll see a limited set of settings such as notifications and Media entries.

An option only available for Direct Messages is Hide, which will remove the user from the Direct Message list. However, this isn’t permanent and the user will be added to the list the next time you or they send a direct message.
